Main Objective: To provide administrative and on-site support to the exhibits department, and assist with all pre-planning, onsite and post events tasks. Serve as a liaison to internal and external clients, including employees, vendors and associations. Essential Duties and Responsibilities: Assist with updating the exhibits calendar, deadline dates, and entry and maintenance of events in meetings management program. Help to manage an online electronic database of exhibit displays, including photos, descriptions and pricing and work with agencies on how to place orders and update inventory. Assist internal departments with the completion of exhibit request forms. Assist with the coordination of workshop and sponsorship requests. Assist with additional meetings being hosted in conjunction with larger conferences and exhibits. Maintain list of approved and preferred vendors. Create & submit marketing project requests related to exhibits activities, and assist & update marketing on changes and deadlines. Assist with travel, housing and transportation arrangements related to exhibits. Assist with payment processing for show orders and exhibit house quotes. Correspond with exhibitor appointed contractors and association meeting organizers on exhibit requests as needed. Maintain an accurate and detailed log of exhibit requests received, and assist with preparation for bi-monthly reviews. Maintain status in meetings management program and correspond via letters to meeting organizers, distributors and corporate staff appropriately. Add follow up information and staff evaluations for exhibits and meetings into meetings management program. Work with the AXIS project team on details required for maintenance of the leads app and list management. Reallocation of meeting card expenses, receipt maintenance and auditing and tracking. Education and Experience: Associates degree required 2 years prior experience within the exhibits industry preferred 2 years prior experience within the health sciences industry preferred Knowledge and Skill Requirements/Specialized Courses and/or Training: Strong customer service and organizational skills; Must prove attention to details Strong working knowledge of Microsoft applications; Outlook, Word, Excel, and PowerPoint Experience managing events with StarCite Ability to multi-task and prioritize multiple projects Excellent written and verbal communication skills Ability to work independently and meet deadlines Familiarity with CRM systems and lead integration capabilities preferred Machine, Tools, and/or Equipment Skills: PCs, MS Office Suite All qualified applicants will receive consideration for employment without regard to race, color, religion, age, sex, sexual orientation, gender identity, national origin, disability or protected veteran status.
